If you're the person responsible for your company's record on Heresafe, not just your own paperwork, this covers what's actually involved: what you're asked for, who sees it, and what happens when something's due to expire.
A clear line between company and worker information
Reminders instead of manual chasing
Only what’s genuinely reusable, stated plainly
Supplying the same company details to more than one client’s system is a real cost, not reluctance to comply, and it’s a reasonable thing to object to. Within one client’s Heresafe account, your accepted company record and credentials stay on file rather than being re-collected for every new project with that same client. A different client’s Heresafe account is, at the moment, a separate record: information doesn’t yet carry across from one client’s account to another’s.

Heresafe keeps your company’s record, insurance, policies, company-level questionnaire answers, separate from each worker’s personal record, their own qualifications, certifications and induction. Mixing the two up is the most common reason a submission comes back for correction. Expiry and renewal tracking runs separately for each, so a company policy lapsing doesn’t get confused with an individual worker’s certification lapsing.
Automated reminders are sent ahead of a credential or policy expiring, so renewing it is rarely a surprise. If something is rejected or re-requested, that decision is made by the organisation you’re working with, not by Heresafe, and the reason given should tell you exactly what to correct and resubmit.

Adding people to a project, removing someone who’s left, and keeping track of who’s missing what can turn into an ongoing job on its own. A Person in Charge, a supervisor, foreperson or team lead, can be given access to handle day-to-day worker and project administration on your behalf, while renewal reminders keep running automatically in the background rather than relying on you remembering to check.
The company record and the individual worker record both still apply to you, there isn’t a separate, lighter sole-trader account type. This page covers your business side; Contractors & Workers covers what’s asked of you personally.
Heresafe holds ISO 27001 and ISO 9001 certification and defaults to UK-based data hosting, published in full on the Trust page, the same standard that applies to the company records you submit here.
Heresafe’s certifications and data-handling practices, covered in full on the Trust page, apply equally to the company records you hold here.
On the other side of this process, Contractor Compliance Administrators is the Heresafe page for whoever at your client’s organisation reviews what you submit.
The Supplier Portal hub covers the wider picture if you landed here directly rather than through an invitation.
