Heresafe for Contractors & Workers

If you've been sent a Heresafe link to complete before you can start work or get on site, this covers what you'll actually be asked to do, why, and what happens with your information along the way.

The organisation you’re working with decides what’s required, personal credentials, an induction, sometimes a short knowledge check, not Heresafe. Most of it can be completed off-site, from home or wherever’s convenient, before you ever reach the gate, so arrival isn’t the first time any of it gets checked.

Whatever’s been requested, a document, an induction, a short questionnaire, gets completed and submitted for review. None of it needs installing anything: it runs in a normal web browser on a phone, tablet, laptop or PC. A phone number can often be used in place of a personal email address for anyone who’d rather not share one, email is simply the default.

The organisation you’re working with controls the information you submit; Heresafe processes it only to run the service, set out in full in the privacy policy. Your contact details are used to manage your access and keep you updated on your own credentials, not for Heresafe marketing.

Where an induction includes a knowledge check, it includes a question about reasonable adjustments, more time, a different format, a different way through it, rather than assuming everyone gets through it the same way. Once you have access, how-to guides, an AI chatbot and a support team are available through the Heresafe Community for anything that isn’t clear.

Submitting something and having it approved aren’t the same step. What you’ll see is one of three states: Awaiting Response, Rejected or Valid. The organisation you’re working with makes that decision, not Heresafe, so a delay usually means it’s still sitting with them rather than something you’ve done wrong.

On the day, you check yourself in and out, often by QR code, kiosk or a geo-tagged mobile check-in that confirms you’re actually on site. That location is only captured at the moment you check in or out, it isn’t used to follow where you are for the rest of your visit. Credentials you’ve already had accepted don’t need re-uploading until they’re due to expire, within that same client’s account, a different client’s Heresafe account currently keeps a separate record of its own.

Heresafe is ISO 27001 and ISO 9001 certified, with UK-based data hosting and encrypted transmission by default, published in full on the Trust page, and is the same standard that applies to the credentials and induction records you submit.
